You’re on the right track if you’re planning to exhibit at an upcoming trade show at the Las Vegas Convention Center! After all, the venue is famous for hosting the best trade events around the world year after year, including international expos and industry-specific fairs. 

Before you join the elite list of exhibitors at LVCC, you should understand its exhibiting rules and regulations. The rigid framework of guidelines is one of the leading factors that make LVCC a top-notch trade show booth design venue in the US. 

If you fail to follow the rules and regulations followed by exhibitors at LVCC, it can result in penalties and cancellation of your participation. This guide covers all key requirements, from booth design and setup to safety, conduct, and compliance at the Las Vegas Convention Center. 1. General Compliance and ADA Accessibility

Complying with the Americans with Disabilities Act (ADA) is a must at the LVCC. Your custom trade show exhibit design should be easy to access for visitors with mobility or visual impairments. All exhibitors are required to make accommodations for attendees with disabilities. Your booth staff should assist such visitors safely and courteously.

If you don’t fulfil the ADA requirements, you may be penalized or even removed from the event as an exhibitor. Complying with LVCC exhibitor guidelines is necessary not only to display responsibility but also to showcase professionalism, a key quality of every top exhibitor.

2. Booth Construction and Design Standards

To maintain maximum safety and accessibility across the show floor, you have to consider all the important LVCC trade show guidelines for booth construction. Here’s what you need to know:

  • Height and Space: For specific booth height limits, you should consider reading the specific event organizer’s guidelines. However, if you’re exhibiting with an island booth, you can only utilize the complete cubic space allotted to you if it meets LVCC’s structural and safety standards.
  • Aisles and Boundaries: No element from your booth should block aisles, emergency exits, or the neighbouring trade show booth display ideas.
  • Floor Covering: Proper flooring is mandatory for every trade show booth. You can use different materials like carpet, laminate, and tiles. If you don’t provide appropriate flooring, you’ll be charged extra after the official stand contractor installs the flooring at your booth.
  • Canopies and Hanging Signs: You can use hanging elements and overhead structures at your booth with prior written approval. All such elements must comply with LVCC engineering and fire-safety rules.

3. Installation and Dismantling

According to the LVCC exhibitor manual, all exhibitors get three to four days before the event for the initial 10x30 trade show booth rental setup. Similarly, a window of two or three days is given after the show for dismantling and move-out. Before you exhibit, please note that:

  • Early dismantling before the official end of the show is prohibited and may lead to penalties.
  • You must remove all materials by the specified deadline to avoid storage or labour penalties. 

4. Safety, Fire, and Electrical Regulations

Safety is a key theme in the Las Vegas Convention Center exhibitor checklist. Here are the key inclusions:

  • Fire Safety: You can only use certified flame-retardant materials for booth construction and decoration. If your exhibit includes any production of smoke, heat, or open flame, you will require written approval from the LVCC Fire Marshal before the show.
  • Electrical Equipment: Wiring, outlets, and lighting must comply with LVCC and Nevada fire codes. You will not be allowed to exhibit if your booth has overloaded circuits or unapproved fixtures.
  • Machinery Operation: If your booth includes moving equipment, it must also feature emergency stop devices. Further, this equipment can only be operated under supervision.
  • Special Effects: Exhibitors cannot use fog, smoke, confetti, or pyrotechnics without approval from authorities and a safe demonstration at the booth space before the event begins.

5. Sound, Demonstrations, and Booth Activities

To ensure ease of business networking, the LVCC exhibitor regulations promote a professional environment. According to the guidelines, you should manage your booth activities to minimize disturbance at your booth location. 

  • Sound levels must not exceed 85 dB, measured from nearby aisles.
  • Public address systems or amplified music are allowed only if they don’t disrupt neighboring exhibitors.
  • Live performances or high-traffic activities must be carefully managed to maintain aisle flow.

The management can ask you to stop an activity immediately if it causes noise complaints or traffic issues.

6. Onsite Conduct and Security

Maintaining professionalism is critical for both reputation and safety.

  • Photography & Videography: Exhibitors may photograph their own displays only. Capturing other booths without permission violates LVCC policy.
  • Promotion and Marketing: Promoting products at any LVCC is reserved for contracted exhibitors. Any exhibitor practicing unauthorized marketing or flyer distribution can be penalized and evicted.
  • Security: All exhibitors are responsible for protecting their valuables during the move-in and move-out timelines, as the theft risk is highest at these times. During the event, you’ll be provided with perimeter security by LVCC.

7. Insurance, Liability, and Indemnity

The LVCC exhibition rules make insurance policies mandatory for all exhibitors. Your policies must cover:

  • General Liability: Minimum $1 million per occurrence / $2 million aggregate.
  • Automobile Liability: Minimum $1 million for owned and hired vehicles.
  • Workers’ Compensation: As required by Nevada state law.

The policy requirements protect both the exhibitor and the organizer from liability in case of property damage or injury. Remember, the policy certificates must name the Las Vegas Convention Center, trade show management, and associated contractors as additional insureds. You can be denied booth setup and access if you fail to present the valid policy documentation on time.

8. Waste Management and Environmental Practices

The LVCC encourages all exhibitors to contribute to sustainable event management. Sustainable event management is at the heart of the LVCC trade show guidelines. All exhibitors are encouraged to keep their booth space clean and practice sustainability throughout the event.

Note: General cleaning on the show floor is managed by LVCC. However, each exhibitor should arrange for booth cleaning to avoid penalties. Daily waste removal is also mandatory within your booth. Further, LVCC encourages the use of eco-friendly materials, reusable displays, and digital alternatives to printed handouts.

9. Prohibited Items and Restrictions

For safety, consistency, and compliance, the following are strictly prohibited within the Las Vegas Convention Center:  

  • Animals, except licensed service animals
  • Helium balloons, drones, or aerial devices
  • Pop-up tents or outdoor canopies
  • Direct retail selling or visible price signage
  • Cannabis or CBD products, regardless of state legality
